Chairperson
Role
Managing the Executive Committee and the affairs of the Club
Reporting Lines
Reporting to the Club Executive Committee
Duties and Responsibilities
- Be completely familiar with the constitution, club rules, committee procedures and the SYFA Constitution and Procedures
- Be responsible for chairing and managing meetings of the Executive Committee
- Oversee and guide all decisions taken by the Executive Committee
- Liaise with the Secretary on the Agenda for each meeting and review the draft minutes before they are circulated
- In conjunction with the Secretary, prepare and present the annual report
- Liaise with the Treasurer to ensure that funds are spent properly and in the best interests of the club
- If unable to attend any committee meeting, a written report should be sent to the meeting and the Vice Chairman briefed on the Agenda
Protection Responsibilities
- Take all reasonable steps, where possible, to protect all players and officials from harm or risk of harm during all activities.
- All officials e.g., coaches, volunteers and first aiders that have regular and/or unsupervised contact with children must complete a Disclosure Scotland Disclosure Application Form, submit it to the relevant SYFA Additional Signatory who will on approval send it directly to the National Secretary.
- All officials seeking membership of the SYFA MUST complete an SYFA Self-Declaration Form. A form is included within the Appendix at the end of the SYFA Player Protection Policy & Guidelines or can be downloaded from the SYFA website.
Secretary
Role
To act as administrator handling all club correspondence, all other communications and being a point of contact on behalf of the club
Reporting Lines
Reporting to the Club Executive Committee
Duties and Responsibilities
- Being the first point of contact for all club enquiries
- Follow all guidelines laid down by the club and the SYFA
- Ensure, wherever possible, club representation at league meetings, regional meetings
- Affiliating the club to a league and the SYFA
- Registering all club players and officials
- Dealing with all club correspondence
- To hold regular club meetings and club executive committee meetings
- To organise the club’s AGM to review the club’s Constitution and Rules.
- In conjunction with the chairman prepare agendas and minutes and to ensure all required actions have been carried out
- To make funding applications on behalf of the club
- In conjunction with other club officials hold meetings to liaise with players and the player’s parents.
- To organise any special club events
- To ensure that all SYFA Protection Policies and Disciplinary Procedures areimplemented and adhered to

Volunteer Coordinator
Role
Assist the Chairperson, Secretary and Treasurer to fulfil the range of administrative tasks required to ensure that the club functions effectively
Reporting Lines
Reports to the Club Executive Committee
Duties and Responsibilities
- Supervise / oversee all club volunteers
- Ensure that opportunities for feedback and training are provided
- Act as the main contact for all volunteers
- Liaise with the Chairperson, Secretary and Treasurer to ensure that all tasks required to run the club efficiently are carried out
- Ensure that each task has been assigned to a volunteer
- Ensure that each volunteer understands their job and their role within the club
- Get to know all club volunteers and potential volunteers by name
- Ensure that all jobs have a job description – consult volunteers and the Committee to write job descriptions
- Motivate volunteers through recognition of their contribution and via regular feedback
Player Protection & Welfare Officer
Role
To carry out all child protection duties
Reporting Lines
Reporting to the relevant Committee and the SYFA National Player Protection Officer
Duties and Responsibilities
- Be supported by the Scottish Youth FA (SYFA) and be appropriately trained
- Implement and promote the SYFA’s Player Protection Policy and Guidelines
- Regularly report to the Club Committee
- Act as the main contact within the club/league for the protection of children
- Encourage good practice and support of procedures to protect children
- Keep abreast of developments and understand the latest information on data protection, confidentiality and other legal issues that impact on the protection of children
- Communicate with the SYFA’s National Player Protection Officer
- Maintain confidential records of reported cases, action taken, liaise with the statutory agencies and ensure they have access to all necessary information
- Report cases, concerns and action taken to the SYFA’s National Secretary or National Player Protection Officer
- Attend training on the protection of children
- Establish and maintain contact with local statutory agencies including the police and social services
- Monitor and review the Player Protection Policy and Guidelines for the club and league
- Ensure there are mechanisms in place for quality assurance
- Ensure that all members, including players’ parents have the post holder’s contact details

- All officials who refuse to submit a fully completed SYFA Self-Declaration Form will be debarred from membership.
- All officials who submit an SYFA Self-Declaration Form and deliberately provide false information will be debarred from membership.
- All officials who submit an SYFA Self-Declaration Form and deliberately omit information may be debarred from membership.
